Thank you for your participation in the Woodstock Rock Art & Poster Show (WRAPS) May 6 & 7 2023 at the Bearsville Center, Woodstock, NY
Load-in and set-up will begin on Friday May 5 at 10:00 am.
See this map for check-in location to get your credentials and be shown to your booth. PLEASE TAKE NOTE! Please make a sign with your name and/or business to display on or behind your area. A show map inside the program will be provided to attendees when they enter.

• All exhibitors are responsible for collecting and paying sales tax to pay Ulster County. The rate is 8%. Here is a link to pay:

General Guidelines for Set-up
• Setup is Fri. May 5, from 10:00am to 6:00pm
• Loading and unloading by Exhibitors As you can see from the
floor plan, there is an entrance to the theater and Utopia soundstage which has only one drive-up entry located in the front of each building. All materials must enter and exit through this entrance. This door is only to be used for loading and unloading supplies and merchandise. No extended parking is permitted. Exhibitors will be asked to quickly unload their supplies and then park their vehicles in exhibitor parking. Heavy congestion is anticipated at this entrance especially during the setup period prior to the show. We ask that each exhibitor be fully prepared to move their supplies quickly and efficiently. Some hand-trucks and dollies will be available but are very limited and will obviously be nin great demand. We highly recommend that you plan ahead. Keeping the traffic moving is imperative and WRAPS staff will be on hand to facilitate a smooth flow. Setup will begin at 10 am sharp and we need to have all exhibitors set up by 6pm May 5th. WRAPS staff will assist when available. Likewise, for attendees and exhibitors safety, we will not allow early departure from your exhibition space. The event closes at 6pm, May 7, 2023.
• Parking: Parking is available anywhere on the property on Friday, but only in the exhibitor lot on Saturday and Sunday. You will get this at check-in. No parking will be allowed door entrance, which is a tow away zone.
• Tables and Displays Each exhibitor space is provided with an 8' folding table, 2 chairs and an 8' x 8' steel display grid. Bring a variety of duct tape, zip ties, binder and bull clips or anything else you may need to display your artwork on the grid wall.
• We have a limited number of black table cloths, You can bring a tablecloth or table display of some kind to dress up the show. Please help our show have the best looking displays. We need your help and forethought to have the best possible festival.
• We cannot promise electricity in the booths. There will be wifi available.
• Personal Liability WRAPS staff will do its best to accommodate exhibitors as situations arise, this event does not furnish formal security staff during the show. At 6pm the exhibit area inside the theater and sound stage will be locked and no one allowed in until 9 am the next morning.
It is the personal responsibility of exhibitors to monitor and secure their assigned space. WRAPS shall not be responsible for any loss, damage or theft, which may occur during this event.
